Opportunity Description:
 
The Administrative Assistant will work closely with the Executive Assistant, US Administrative Assistant, Operations Managers and Director of Project Management to help with day to day administrative functions and office related tasks.
 
Responsibilities Include: 
 
  • Manage front reception phones including seven roll over lines and assist visitors to building including Executive level visitors, couriers and delivery
  • Coordination of air and vehicular travel for US and Canadian staff in conjunction with Executive Assistant
  • Manage on-line Federal Express shipments - incoming and outgoing; domestic, transborder, international
  • Coordinate new hire documentation including drug tests, drivers licence abstracts and background checks
  • Manage coordination and ordering of all office supplies for Canadian office
  • Responsible for maintenance and distribution of internal office documentation including office phone extension lists and communication
  • Assist with On Demand conference calls and web based tools such as GoToMeeting
  • Assist with photocopying, binding and distribution of reports
  • Assist with meeting set up and preparations
  • Work with marketing on managing the internal resource library including print media and advertisement material
  
Qualifications:
 
  • Post secondary degree/diploma in administrative studies or equivalent experience
  • Previous experience working with travel and SABRE would be an asset
  • Experience dealing with middle to senior level management
  • Proven computer skills including Microsoft Word, Outlook, Excel, PowerPoint
  • 1-2 years experience in an office setting environment
  • Detail oriented and proactive with a high level of attention to detail
  • Strong oral and written communication skills
  • Ability to multi-task in a fast paced environment
